Workloads
Chat, Spaces, and direct messages. Forms, Drawings, Sites, Tasks, and Vault. Personal Gmail accounts. Google Groups too, though anything already sitting in a member's mailbox comes over with it.
Mail details
Deleted mail, Spam, and Trash. Aliases, forwarding rules, and scheduled emails. Delegates, send-as, and send-on-behalf. Folder permissions, retention policies, and message headers. Signature settings, though the body text comes over. Encrypted mail, which copies but stays unreadable. And Gmail filters Outlook can't reproduce.
Compliance and calendar
Litigation hold data. Rooms and equipment get mapped, but what's inside them doesn't come over.

That same license covers Entra ID, Exchange Online, SharePoint, Teams, and OneDrive. Google Workspace migration runs on ShareGate Migrate Pro and Enterprise, and that covers all five workloads: Gmail, Calendar, Contacts, My Drive, and Shared Drives.

Gmail to Exchange Online. Emails, threads, attachments, timestamps, read state, snoozed mail, automatic replies. Supported filters become Outlook rules, labels become Exchange categories, and Drive links inside emails repoint to the Microsoft 365 file.
Google Calendar to Outlook. Events, attendees, recurrence, focus time, working location, out-of-office, sharing, colors, time zones, birthdays, attachments. Appointment schedules become Microsoft Bookings.
Contacts to Exchange Online. Name, company, title, email, phone, address, website, notes. Contact labels become folders and categories.
My Drive to OneDrive and Shared Drives to SharePoint or OneDrive. Files, folders, and permissions, with Docs, Sheets, and Slides converted to Office formats.
On the Google side: a Super Admin account with domain-wide authority delegated to ShareGate in the Admin Console. One-time setup, once per tenant.
On the Microsoft side: Exchange Admin for Gmail to Exchange Online, or Site Collection Administrator on each destination site or OneDrive for Drive. A Global Admin consents to the ShareGate Azure app once. After that, Exchange Admin or Site Collection Admin is enough to run the actual work.
ShareGate Migrate is a desktop app. Your content goes from Google, through your machine, to Microsoft 365. It never passes through our servers.
Google access. Super Admin, domain-wide authority delegated to ShareGate, required permission scopes allowlisted.
A destination that's actually ready. Target mailboxes have to exist and be licensed. OneDrives have to be provisioned, and that can take up to 24 hours, so start it early.
A real scope. Inventory your users, mailboxes, and drives before you batch anything. Guessing at volume is how a two-week project turns into a two-month one.
Connect with a Super Admin account, map source mailboxes to destination mailboxes (they need to exist first), and choose what to copy: emails, calendars, contacts, mailbox rules. Filter by date range, schedule outside business hours, run mailboxes concurrently. PowerShell is there for scale. You don't need it.
Run incrementals as the project goes, then a final delta at cutover.
One thing to plan for: Google Meet events come across as real Teams meetings, which means attendees get re-invited, which means real invitation emails. Most teams migrate calendars on the final pass only, so nobody gets invited to the same standup four times.
Here's the reasoning. One Gmail message can carry five labels. An Exchange folder can only hold that message in one place. Rebuilding labels as folders would mean five copies of the same email scattered across your mailbox, so categories won.
Calendar event labels convert the same way. Tell your users before cutover, because the folder pane is the first place they'll go looking.
Faithful, not pixel-perfect. Custom fonts, heavy formatting, and complicated Sheets formulas can shift a little. Spot-check a handful in your pilot batch and you'll know what you're dealing with.
My Drive content usually lands in OneDrive for Business. Shared Drive content lands in SharePoint document libraries or Teams channels, depending on where you point it. Permissions carry over for users who exist at the destination and are mapped correctly.
Google Groups don't migrate. Their content already lives in each member's mailbox, and those move with the standard mailbox migration.
The Google connection still needs a Super Admin account with domain-wide authority, so the admin account can reach every mailbox even when you're only moving twelve of them. That's a Google requirement, not a ShareGate one.
One limit worth knowing up front: mappings are user to user. A Google mailbox can't land in an Exchange Online shared mailbox.
Going faster means running more mailboxes at once, not making one mailbox sprint. Google and Microsoft both throttle, and no tool talks them out of it. ShareGate Migrate copies 16 mailboxes in parallel by default in PowerShell, up to 128 if you push it, and you can run across separate machines.
Isolate anything over 800,000 items and run it on its own. It'll finish either way, but troubleshooting one giant mailbox inside a batch is nobody's idea of a good week.
To estimate: total mailbox data, divided by 1.5 GB per hour, divided again by how many you're running at once. Then add buffer for incremental passes.
Something needs another pass? Re-run it, as many times as you need. Your source is never touched, because ShareGate Migrate only ever copies.
Direction: Google Workspace to Microsoft 365, one way. The destination is always a Microsoft 365 tenant.
National clouds: No Gmail or mailbox migration in Microsoft 365 US Government GCC, GCC High and DoD, or Microsoft 365 China operated by 21Vianet.
