Manage Permissions with Sharegate’s Permission Matrix Report

In this video, we will take a look at how the Permission matrix report can help you make smart decisions when it comes to managing the permissions of your SharePoint environment.
Imagine taking snapshots of all the permissions of your sites, lists, libraries, documents, and items, and combine them into a single easy-to-read report. You get the Permission matrix report.
It’s a mouthful, so we call it the PMR. This report can be initiated from the Explorer, simply by selecting the target you want it to run on. Then click on the PMR button in the Quick actions panel, or go to the Reporting section where it can also be found, and select your target environment.
Sharegate will then display the permissions of every users and groups for each one of your sites. You can also specify which ones you want displayed. External user permissions are also available for Office 365 tenants. You can include or exclude lists and libraries and their content in order to display only sites and subsites. Finally, the PMR can be run right away or scheduled.
Once the report has run, Sharegate will display the results starting at the top-level target you previously selected. It will also show which users and groups have access within the environment and their permission levels. All the children of the object will be display underneath in a tree view. You’ll know right away if they inherit permissions from their parent. Sharegate will also clearly identify items with unique permissions.
At first glance, SharePoint groups will be shown in a collapsed view. Expanding them will let you see every user found in each group. Even better, it will also display the Active directory groups included, and of course you can expand them.
If you want a complete view, everything can be expanded with a single click. Now that you have all the info you need, it’s important to know how to read it. So, the PMR lets you see the permission levels of all users and groups, great! But what if you want to know if these permissions were given through groups, or explicitly to the user: well, the “Given through” column will tell you right away.
Just like every Sharegate report, the Permission matrix report can be exported to Excel, in order for you to filter and better understand your permissions.
With this data, you’ll now be able to know exactly who has access to what and with which permission level. This means you can now make smarter decisions when it comes to managing and securing your environment.
