This month in ShareGate: Smarter spending, smarter migrations

April is all about completeness and control. ShareGate Protect has a new cost quantification update that puts dollar amounts next to the governance work you're already doing, so you can finally show stakeholders what cleaning up is worth. And we're giving you an early look at what's coming in May: the Permissions matrix report. On the Migrate side, we have two updates that expand what you can see and move in tenant-to-tenant projects, making incremental copy clearer and inviting resource mailboxes to the party.

ShareGate Protect updates

Cost quantification: See exactly what your M365 licenses and storage are costing you

Last month, Protect got sharper visibility into two of the biggest sources of M365 waste: license usage and archived workspaces. This month, we're putting estimated dollar costs alongside all of your governance insights.

Inactive licenses show you the monthly cost per SKU. Unallocated licenses show you what you're paying for seats nobody is using. Sites with no activity in the last 180 days and orphaned OneDrives include the storage cost attached to them, calculated against your tenant's base quota.  

At the top of the page, a summary banner rolls all of that up: total potential savings available across licenses and storage, in one number you can actually put in front of a stakeholder.

A few things to know: costs are estimated based on publicly available Microsoft pricing and your tenant's license and storage data. If your organization has negotiated pricing through a reseller, the numbers won't reflect that yet—custom pricing support is on the roadmap.

And the Reduce costs category will only surface prominently when the potential savings cross a meaningful threshold, so you're not chasing noise.

With Microsoft's July price increases getting closer, this is a good time to know where the waste is and what's worth fixing.

What we're working on in Protect

The Permissions matrix report is coming to Protect in May. If you're a Migrate user, you already know (maybe even love?) the PMR. It's the most-used report in Migrate for a reason.

Now it's being rebuilt for the web, purpose-built for ongoing governance across SharePoint and OneDrive. Same question you already know—who has access to what?—asked for a different job. Migrate's PMR helps you validate that permissions transferred cleanly. Protect's PMR will help you spot and fix oversharing as collaboration evolves, so you can keep your sensitive content from being exposed. Full launch details next month!

ShareGate Migrate updates

This month's Migrate updates are built around expanding mailbox migrations. Incremental runs are now more easily tracked and room and equipment mailboxes are now part of the workflow.

Incremental copy clarity: See and control every step

Incremental mailbox migrations are essential, especially for long-running tenant-to-tenant projects where content keeps flowing right up to cutover. And now they come with the kind of at-a-glance clarity that makes multi-run projects feel effortless. You'll know exactly when each mailbox was last copied and how it went.

Incremental mailbox copy now shows a Last Run column and a Status column directly in the migration view. You can see exactly when each mailbox was last copied and whether it completed successfully. And when you need to re-run, all your settings are pre-loaded. One click, and you're off again.

Resource mailbox support: Rooms and equipment, migrated completely

Exchange Online migration coverage keeps growing. Room and equipment mailboxes are part of almost every organization—shared calendars for conference rooms, projectors, fleet vehicles, the works. Now they move through ShareGate alongside everything else.

Resource mailboxes now migrate through ShareGate with their booking policies and calendar settings intact, right inside the same workflow you already use. Conference rooms, meeting equipment, shared calendars—all ready to go on the other side.
